Versions and approval

Submit a replacement, review the exact version, and see what stays current while you decide.

Every file uploaded to Chest is kept exactly as it arrived. A replacement adds a new version; it never overwrites the old one.

Submit a replacement

On the record, press Submit replacement, choose the Replacement file and press Submit new immutable version. The new version appears at the top of Versions and accountable decisions as submitted, with its size, type, SHA-256 fingerprint, who uploaded it and who is assigned to review it.

The Current approved version does not change. Everyone who opens the record still sees and downloads the approved one until the new version is approved.

Record a decision

The assigned reviewer chooses a Decision on the version and presses Record action, with an optional Comment / reason:

  • Comment: adds a note to that version.
  • Request changes: marks that version as needing changes. To resubmit, upload a replacement; the request stays attached to the earlier version.
  • Approve this exact version: makes this version the current approved one.
  • Assign reviewer: hands the review to the person chosen in Reviewer (for assignment).

Approval binds to the exact version the reviewer chose. Approving one version never approves a later one that arrived meanwhile; each needs its own approval. Only the assigned reviewer, with current reviewer access, can approve.

Read the history

Each version lists its decisions in order: what was done, by whom and when, with any comment. The approved version carries the Current approved tab. Earlier versions and their decisions stay on the record for good.
